How to manage email space in cPanel?
In the following lines of this tutorial, we will discuss the Email Space Usage feature of cPanel, so that you know exactly how much space your email accounts are using and how to delete unneeded emails.
Access to the use of the storage space for e-mails in cPanel
In order to use any of the features for your web hosting package, you first need to register Log in to the cPanel.
Once this is done, a list of all the functions that cPanel has to offer will be displayed. In this list you have to select the function Storage space usage by e-mails by searching for the function group "Email" search, in which the function "Storage space usage by e-mails" is located.
When you click on the feature, you will be redirected to a new page where you will find more information about the used space of your email accounts.

Manage the size of your email accounts
Now that you're in the right place, let's take a look at what the Email Space Usage feature has to offer. The default page of the feature provides you with some useful tools and statistics. First and foremost, there is a drop-down list that displays all the email accounts that have been created for all the domains that are linked to your cPanel web hosting account. To view statistics and reduce disk space usage for your email account, please select the email account you want to manage first.
By default, the selected email account is the "default" account. As mentioned in other tutorials, when each cPanel web hosting account is created, the system also creates a default email account for cPanel's internal email purposes. This email account is actually the cPanel username and you can manage it like any other email account. Therefore, cPanel assumes that you would want to manage the space for this account just like you would manage the space for any other account.
Just below the Account drop-down list, you will see a tabular representation of the folders for the selected email account. Each row of this table represents a separate folder and each column of the table contains various information, such as the Number of messages in the e-mail account and, of course, the entire Storage space usage for the respective folder.
With this information, you can determine where the email account space usage is coming from and take appropriate action to clean up the folder.
Select an email account that contains some messages. In the last column of the table called Actions you will see a single link called Manage, but only for the folders of your email account that actually contain emails.
When you click the "Manage" link, the "Messages to be deleted" option is added to the line of the relevant folder. This option allows you to select what kind of e-mails should be deleted. The following options are available:
1 year or older: This option deletes messages older than 1 year.
30 MB or larger: This option deletes messages larger than 30 MB.
Last read: This option deletes all read messages.
All news: This option deletes all messages associated with your email account.
Custom Query: When you select this option, another field appears where you can enter a custom query in the Dovecot search query format.
After you select the type of messages you want to delete, please click the button "Delete permanently"so that cPanel can delete the messages.
Please note that cPanel does not ask you for any further confirmation and that clicking on the button "Delete permanently" triggers the deletion process.
This is the general process to reduce the storage space on your email account. Please make sure you have a local copy of all emails associated with your email account before you start deleting your emails.
